Front Desk Receptionist Required in Dubai
Our client, a global real estate developer, is looking for a Front Desk Receptionist, who will be the first point of contact for our guests and an integral part of the team. You will be responsible for creating a welcoming and professional atmosphere for clients and visitors as well as assisting the day to day operations and facilities team.
Responsibilities:
• Client and Visitor Greeting: Provide a warm and professional welcome to clients and visitors at reception desks across the various floors. Register clients upon arrival, notify partners/hosts, and escort clients where necessary.
• Meeting Room Support: Escort clients to meeting rooms, ensuring all requirements and expectations are met according to standard operating procedures (SOPs). Manage multi-floor meeting room spaces, ensuring SOPs are adhered to and client areas are well-stocked and functional.
• Event Support: Assist with meet and greet and registration for events, maintaining meeting room standards.
• Room Booking: Manage room booking requests using in house system ensuring all relevant communication and confirmation is sent out to stakeholders.
• Phone Reception: Answer telephones and redirect calls as needed. Support team in Presentations and Video Calls set-up.
• Transportation Coordination: Book, amend, and announce any transportation, handling any issues professionally.
• Catering Coordination: Communication with the Facilities team and catering team for client meetings and internal training sessions, when needed.
• Reception Area Maintenance: Keep the reception area neat, tidy, and paper-free at all times.
• Stock Management: Maintain stock levels for stationery in client meeting rooms, coordinating with the Facilities team.
• Data Security: Ensure the security, integrity, and confidentiality of data.
• Safety and Security: Maintain a safe and secure working environment to ensure the safety of all employees, the building, and visitors/clients.
Skills and Experience:
• 5+ Years of Front of house experience, ideally within large professional organisations.
• Fully proficient in Russian language.
• Exceptional client services experience to a 5-star standard.
• Strong attention to detail, ability to manage complex bookings.
• Excellent time management and ability to remain calm under pressure.
• Team player with exceptional communication skills, both verbal and written.
• Reliable, proactive, and adaptable to change.
• Familiarity with Microsoft Office systems: Outlook, Excel, Word, and PowerPoint.
• Professional appearance at all times.
